City settings give admins visibility into how the workspace is being used and control over how it behaves. You can review your municipality’s profile, control what members are allowed to do, post announcements, and monitor activity — all from the Settings area.

Municipality overview

The Settings → Municipality page shows a read-only summary of your city’s profile and usage statistics. Profile fields:
  • Municipality — Your city’s display name as configured in Prophecy Gov
  • State — The state your city belongs to
  • Allowed Email Domain — The email domain(s) authorized to join your workspace (for example, cityofexample.gov)
Usage statistics: The municipality page displays key metrics that update automatically:

Below the statistics, an activity chart shows trends over time. Use the period toggle to view Day, Week, or Month windows, and the metric toggle to switch between Active Users, Questions, and Chats.

Member permissions

The Settings → Configurations page controls what non-admin members are allowed to do. Changes take effect immediately for all members.

Data Vault uploads

By default, members can upload files to the Data Vault and share them with colleagues. If you want to restrict uploads to admins only, disable the Allow members to upload internal files to Vault and share files toggle. When this is off, only city admins can add documents to the Data Vault. Members can still read and search files that admins have made available to them.

Template sharing

Templates are reusable document structures for staff reports and other city documents. By default, only admins can share templates org-wide. To allow members to publish templates to the entire organization, enable the Allow members to share templates org-wide toggle.
Even when template sharing is restricted, members can still create and use personal templates. The restriction applies only to sharing templates with all users in the workspace.

Announcements

Announcements let you post city-wide notices that appear for all users in your workspace. Use announcements to communicate maintenance windows, policy changes, new features, or anything your team needs to know. Announcements are managed by the Prophecy Gov team on your behalf — contact support to create or update a city-wide announcement. Each announcement remains visible for 14 days from its last update, after which it automatically expires.

Groups

Groups let you organize users for file sharing and collaboration. Create and manage groups from Settings → Groups. See Manage users and roles for detailed steps.

Integrations

Admins can connect your city to external document repositories from Settings → Configurations. Available integrations include SharePoint and Laserfiche. If an integration is not yet connected, you can submit a request from the settings page — Prophecy Gov will follow up to complete the connection.
